Choose Joy Nursing is a premium concierge night nurse company supporting families during the postpartum and post-surgical journey.
Our mission is to deliver seamless, compassionate, and professional care through a highly skilled nursing team. We are seeking an Operations Coordinator to oversee operations in new markets, manage scheduling, and oversee client relations while ensuring exceptional experiences for both families and staff with a joyful heart.
This is a full-time, in-person role that requires flexibility, discretion, professionalism, and a service-minded approach. Rotating evening (5:00–10:00 pm) and weekend availability is required.
The ideal candidate is detail-oriented, emotionally intelligent, tech-savvy, and highly resourceful, with a strong ability to anticipate needs and execute with excellence.
Key responsibilities

Serve as the first impression for new families - manage client applications, client interviews, and management of contracts, invoicing, and onboarding.
Confidently communicate the value of Choose Joy Nursing services; convert inquiries into clients.
Ensure a consistent, high-quality client experience from initial contact through service delivery.
Maintain accurate client records, documentation, and communication across internal systems and platforms.

Manage nurse scheduling, matching client needs with nurse availability.
Track and update charge nurses on availability, client due dates, and birth schedules.
Maintain real-time visibility of nurse availability, client due dates, and birth schedules while communicating updates to Charge Nurses.
Develop a strong understanding of backend operational functions within AlayaCare, including client workflows, documentation management, scheduling systems, troubleshooting, and overall platform organization.
Communicate updates between clients, nurses, and the Charge Nurse to ensure seamless coverage.
Oversee scheduling for baby 101 classes, lactation consultations, and training.
Respond quickly and professionally to scheduling changes, client concerns, and urgent staffing needs.

Collaborate directly with the current Operations Manager and participate in a shared rotating schedule for on-call weekends, nights, holidays, and out-of-office coverage.
Indirectly support a nursing team of ~30 and the Charge Nurse by providing structure, accountability, and communication flow.
Serve as a key point of contact and operational support resource for nurses and clinical leadership.
Help reinforce accountability, professionalism, and responsiveness across the care team.
Partner with HR on recruitment, onboarding, and interviewing for nurse positions.
Foster a culture of professionalism, compassion, and continuous improvement.
Manage ordering, tracking, and inventory of company materials and supplies.

Ensure compliance with contracts, policies, and legal documentation in partnership with the Business Manager and HR.
Organize and facilitate team meetings; track action items and drive follow-through.
Maintain and improve operational workflows, SOPs, and internal systems to support company growth.
Identify operational gaps and proactively recommend process improvements.
Troubleshoot operational challenges and escalate concerns appropriately.
QUALIFICATIONS
3–5 years of business management, operations, or client services experience.
Experience leading small teams and influencing larger groups.
Strong organizational skills with an exceptional eye for detail.
Excellent communicator with strong interpersonal skills; comfortable speaking with families and clinicians.
Ability to manage multiple priorities in a fast-paced, high-growth environment.
Flexible availability for occasional evening client calls (5:00–10:00 PM) and weekend coverage as needed.
